What determines the cost of an automation project
- Process complexity — Is it a simple flow (incoming message → outgoing message) or a process with steps, conditions, edge cases, and error handling. The more "what ifs" there are, the longer it takes to build correctly.
- Number of systems connected — Each integration (WhatsApp, CRM, invoicing, spreadsheet) adds work: understanding the API, permissions, and testing.
- Data — Do you need to clean, convert, or migrate existing data? That's a separate part of the budget.
- AI components — A chatbot with a language model, automatic classification of inquiries, document processing — the AI itself costs money (per usage) and needs to be tuned for quality.
- Maintenance and support — A system that someone owns after launch: monitoring, updates, and improvements.
- Documentation — Professional delivery includes documentation, so you're not dependent on anyone.
Realistic ranges — market reference points
These are rough ranges from the Israeli market, which can move up or down based on complexity. Every project gets a fixed written quote — there's no uniform "true" price here:
- Simple automation (reminders, automatic messages, one recurring report) — at the low end of the range, and built quickly.
- Leads bot or chatbot with CRM — medium range: includes integrations, lead sorting, and tracking.
- Full CRM or ordering/inventory system — at the high end: a project of several weeks to months, with characterization, testing, and implementation.
And the important part: a price much lower than the market is usually a red flag — either it's an off-the-shelf template labeled as "custom," or there will be surprises along the way.
Red flags when receiving a quote
- Open hours / hourly billing — "Let's start and see how much it costs" isn't pricing, it's your risk. Demand a fixed quote.
- Monthly platform lock-in — If you're paying every month for tools you can build or assemble yourself, it's worth checking an alternative.
- Off-the-shelf templates sold as custom builds — Ask directly: what's tailored to me and what comes "off the shelf"?
